Including Emails in Date of Last Contact Calcuations

The functionality described in this article is available as part of our Zinfandel release and will not be available if your Practifi instance is not upgraded to this release. 

Overview

By default, the Date of Last Contact for Entities in Practifi considers only calls and events. Optionally, Practifi Administrators can also include emails in this calculation by enabling a Lookup Rollup Summary in the Settings app. This article explains the Last Email Date Lookup Rollup Summary and outlines the steps to enable it.

Understanding the Last Email Date Lookup Rollup Summary

A Last Email Date field on the Entity object displays the latest email sent date. This is defined as the MessageDate of the most recent EmailMessage record where the RelatedToId is the Entity and Incoming is false.

When the Last Email Date Lookup Rollup Summary is enabled, the criteria for the Date of Last Contact on an Entity includes the Last Email Date value along with the Last Call Date and Last Event Date. The most recent date among these three is saved as the practifi__Date_of_Last_Contact__c.

Please note: For emails synced from Microsoft 365, messages matched prior to a Practifi organization's upgrade to the Zinfandel release will not be included in the Date of Last Contact calculation.

Enabling the Last Email Date Lookup Rollup Summary

To enable the Last Email Date Lookup Rollup Summary:

1. Click the App Launcher and select Settings.
2. In the Settings app, use the Navigation Menu to select Lookup Rollup Summaries.
   
   
   
   
3. Change the list view from Recently Viewed to All.
   
   
   
   
4. Scroll down and click the Last Email Date hyperlink.
   
   
   
   
5. On the Last Email Date screen, click the pencil icon next to the Active checkbox.
   
   
   
   
6. On the edit screen, check the Active box, then click Save.
