Overview
Processes in Practifi help your firm standardize and streamline recurring workflows, ensuring consistency and reducing the risk of missed steps across your team. To help you get started quickly, Practifi provides several pre-built process types designed specifically for common wealth management activities.
These pre-configured processes are ready to use right out of the box and can be customized to match your firm’s unique requirements. Whether you need to onboard new clients, manage trade requests, or conduct annual reviews, pre-built process types provide a foundation that helps your team maintain service quality while reducing the time spent building workflows from scratch.
This article outlines the different pre-built process types available in Practifi and explains how to request additional process types if they are not currently available in your instance.
Process Type Availability
For Practifi organizations created after the Barbaresco release in April 2025, the pre-built process types listed below are included by default. Practifi Administrators can find them on the Process Types page in the Settings app.
If your Practifi instance was created before the Barbaresco release, these process types can be added to your organization by request. Contact Practifi Support and let them know which process type(s) you would like to add.
Process Type Details
The following sections provide information about our pre-built process types and their intended uses. They are grouped into three categories based on how they function:
- Template Processes: Process types intended to be cloned and used as the starting point for new processes.
- Active Form Processes: These process types use Active Forms to collect information.
- Checklist Processes: For tasks that require several steps, these process types use Checklists to track the work.
Template Processes
These process templates provide a starting point for building custom workflows specific to your firm’s needs.
Please note: Template processes are not visible to end users when launching processes within Practifi. They should be cloned rather than modified directly.

Active Form Processes
Active Form processes collect information directly from users through structured forms, reducing errors and ensuring complete data capture every time the process runs.

| Client Onboarding | Guides your team through bringing a new client into the organization. Includes three tasks with Active Forms to collect personal details and set up accounts, with checklist items to track adding the client to external systems. |
| Move Money | Manages the process of transferring money between accounts. Includes an Active Form to collect account details with appropriate documentation and tracking. |
| Paperwork Request | Manages the process of requesting and preparing legal or administrative paperwork. An Active Form collects details such as delivery method, deadline, required forms, and financial account information. |
Checklist Processes
Checklist processes break down complex workflows into trackable steps, providing visibility into progress and helping teams coordinate multi-step activities.

| Annual Review | Provides a structured approach for conducting annual review meetings with clients. Three tasks with checklists track steps like scheduling, gathering client data, and creating an agenda. |
| Change of Address | Manages client address changes with two tasks and checklists. Tracks client notification and verification, communication preference changes, and updates to Practifi and external systems. |
| Deceased Client | Outlines steps to take when a client passes away. Three tasks with checklist items include confirming the death through documentation, recording the date of death, reviewing the account, providing estate details, freezing accounts, and notifying the internal team. |
| Discovery Meeting | Guides initial discovery meetings with prospective clients. Three tasks with checklists cover scheduling, information gathering, preparing the agenda, identifying client needs, and preparing a follow-up plan. |
| KYC & Risk Assessment | KYC stands for Know Your Client. Helps your firm gather and document client information required for regulatory compliance and effective service. Three tasks with checklist items collect personal details, financial information, investment objectives, and risk assessment questionnaire responses. |
| Tax Return Preparation | Helps teams prepare to file a client's tax returns. Three tasks with checklist items cover gathering documentation, inputting data, identifying deductions and credits, verifying compliance, obtaining approval, and filing. |
