Overview
Even with all the functionality in our workflows, manually creating tasks can still be time-consuming. To help make task setup easily repeatable, we've introduced Task Setup Bundles, which bring together all the configuration items involved in a particular use case, such as creating an Event or making a Noticeboard post. This article outlines the functionality of Task Setup Bundles within your Practifi instance.
Included Objects
All the configuration elements available to a Task Template or Process Task are accounted for in a Task Setup Bundle. The full list of included objects is as follows:
- Actions
- Active Form Display Criteria
- Active Form Fields
- Active Form Sections
- Active Form Field Assignments
- Outcomes
- Preset Checklist Items
Creating Task Setup Bundles
Task Setup Bundles can be created from scratch or imported from an existing Task Template or Process Task. The following sections outline the steps to create a Task Setup Bundle via these two methods.
Building From Scratch
To create a new Task Setup Bundle, do the following:
- Navigate to the Settings app within Practifi by selecting the App Launcher in the upper left-hand corner.
- Within the Settings app, select the caret icon and click the Setup Bundles page from the drop-down menu.
- Select the New Setup Bundle button.
- Enter the Task Bundle's name in the Subject field and press Save.
- Add all the configuration items you want to include in the same way you would for a Process Task or Task Template.
Importing From an Existing Process Task or Task Template
Use the Save to Bundle action, found on the record pages of Process Tasks and Task Templates. You’ll have the option of creating an entirely new bundle or adding the configuration to an existing one.
Please note: All configuration items found within the Process Task or Task Template will be imported into the bundle. You can’t choose items individually, however, you can delete unnecessary ones afterward.
Using Task Setup Bundles
The Add Setup Bundle action appears on the Process Task and Task Template record pages, which manages the addition of bundle items into the workflow for you. Select the action and select which bundle to import. Unlike adding to a Process Task or Task Template where the configuration items will always be used during that workflow step, Task Setup Bundles give you the flexibility to add the configuration items of your choice to specific steps at specific times.
Please note: All configuration items found within the Task Setup Bundle will be imported into the Process Task or Task Template. You can’t choose items individually, however, you can delete unnecessary ones afterward.
Enabling Task Setup Bundles
Task Setup Bundles are enabled by default in your Practifi instance. However, the Task Setup Bundles page won’t show a New Task Setup Bundle action unless it’s been made available by your administrator. To add this button, go to the Process Task object in the Object Manager section of Salesforce Setup, open List View Button Layout and edit the list to add the missing action.
Please note: The Setup Bundles page appears toward the bottom of the list in the Settings app. To change the order in which pages appear, click Edit to rearrange, then click Save.
