In wealth management firms, collaboration is essential to delivering exceptional client service. While task owners are typically responsible for completing their assigned work, real-world operations often require flexibility. Team members may need to collaborate on deliverables, operations staff may complete administrative tasks on behalf of advisors, or colleagues may provide coverage during absences.
Advanced execution management gives you control over who can perform work on tasks beyond the assigned owner. By assigning specific roles to execute tasks, you ensure work continues smoothly while maintaining appropriate access controls and meeting critical deadlines.
This article explains how advanced execution management works and shows you how to configure it in your Practifi organization.
How Advanced Execution Management Works
Advanced execution management uses two fields on the Process Task record to determine which users, in addition to the task owner, can perform work on the task. Understanding these fields helps you configure the right level of access for your team structure.

Roles that can execute this Task: This field allows you to specify Servicing Team Roles that can work on the task. Servicing Team Roles typically include operations-focused positions, such as Client Service Associates, Operations Staff, and other support team members, who ensure day-to-day efficiency and client satisfaction.
When you add a Servicing Team Role to this field, any team member with that role on the Entity’s Servicing Team can modify Active Form Fields, complete Checklist items, and use the Mark as Complete action for the task. This enables your operations team to handle administrative and compliance-related tasks, freeing up advisors to focus on strategic client relationships.

Bus. Roles that can execute this Task: This field lets you specify the Business Roles that can work on the task. Business Roles typically include client-facing and strategic positions such as Lead Advisors, Partners, or Business Development Managers who focus on growth, relationship management, and revenue generation.
When you add a Business Role to this field, any team member with that role on the Entity’s team can modify Active Form Fields, complete Checklist items, and use the Mark as Complete action for the task. This supports collaboration among advisors and ensures that senior team members can step in when needed to maintain client service standards.
Setting Up Advanced Execution Management
Advanced execution management is configured at the Process Task level, allowing you to tailor execution permissions for each task in your workflow. To designate which roles can execute a given task, follow these steps:

From the Settings app, click the caret and select Process Types.
- Open the desired process.

Click the Process Tasks subtab, then click the name of the process task you want to edit.

On the Basics tab, scroll down to the Task Settings section.
- Ensure the Enable Advanced Execution Management? box is checked. If not, click the pencil icon to edit, and click the box to check it.
- Edit one or both of the following fields: Roles that can execute this Task and Bus. Roles that can execute this Task.

Click to highlight the role(s) you want to add, then click the right arrow to add to the Chosen box.
Please note: If you choose Client Service, users must be part of an Entity's Servicing Team to edit tasks related to them.
- To finish, click Save.
Your changes will apply to all future instances of this task within the process. Team members with the designated roles will now be able to work on these tasks alongside the assigned owner, ensuring continuous workflow and operational efficiency.
