Overview

Practifi Intelligence is an AI-powered add-on for Practifi that transforms the way wealth management firms operate. It includes three categories of smart features: 

  • Meeting Intelligence: Automated meeting capture and documentation
  • Relationship Intelligence: Smart client insights and collaboration
  • Admin Intelligence: AI-powered workflow creation

All features work natively within your existing Practifi organization, eliminating the need for separate logins, data syncing, or learning new tools.

This article provides an overview of Practifi Intelligence and how its three feature categories work together to enhance productivity, automate insights, and leverage your data firm-wide.

Please note: Practifi Intelligence is a paid add-on. To request access to Practifi Intelligence, please reach out to your Client Success Manager or Practifi contact. Enabling Practifi Intelligence requires signing additional data processing agreements as part of our partnership with our AI provider.


What Is Practifi Intelligence?

Practifi Intelligence combines the power of a core CRM with the innovation of AI-first design. Instead of treating AI as a secondary tool that sits outside your workflow, Practifi Intelligence is built directly into Practifi, where your team already works. This native integration means AI capabilities are available on demand, whether you're preparing for a meeting, documenting client conversations, or building operational workflows.

Our AI model uses context from your firm's data and processes to make everyday work smoother and more insightful. Rather than creating more systems to manage, Practifi Intelligence enhances the workflows you already have.


The Three Core Capabilities

Practifi Intelligence consists of three complementary feature categories that address different aspects of firm operations. You can adopt all three or start with the features most relevant to your business needs.

Meeting Intelligence

Meeting Intelligence simplifies how meetings are captured, summarized, and actioned. These features can save your team time, improve accuracy, and strengthen client relationships.

Key capabilities:

  • Notetaker joins your video conferencing calls and captures full transcripts of the meetings.
  • Professional meeting summaries are generated after meetings end, including key discussion points, decisions made, and clearly identified next steps. Summaries can be automatically stored as Smart Notes, making them fully searchable and available alongside your other notes.
  • Automatic action items are surfaced through Follow-up Assistant integration, turning meeting content into suggested tasks and workflows.
  • Meeting compliance features allow firms to control transcript storage in line with compliance policies.
  • Meeting Sentiment automatically analyzes the tone of each client-advisor conversation, providing an at-a-glance indicator of relationship health alongside existing communication sentiment signals.
  • Meeting Topic Classification automatically categorizes each completed meeting, such as Annual Review, Portfolio Review, or Estate Planning, turning your meeting list into a structured, filterable dataset.

Meeting Intelligence eliminates the tension between staying present with clients and capturing every important detail. Advisors can focus entirely on the conversation while Notetaker handles the documentation.

Relationship Intelligence

Relationship Intelligence helps you know what to say, when to say it, and why it matters. It moves firms from reactive to proactive relationship management by surfacing insights and context at the right moment.

Key capabilities:

  • Smart Notes provide AI-powered collaborative documents that enable teams to capture, organize, and share client insights, meeting preparations, and relationship details in real time.
  • Follow-up Assistant analyzes meetings, emails, and client interactions to automatically suggest relevant tasks, workflow triggers, and next steps.
  • AI-generated content blocks for Smart Notes can include meeting briefs, relationship summaries, and market commentaries. For example, Practifi's pre-built Market-Driven Talking Points content block connects recent market developments, company news, and sector trends to a client's specific portfolio holdings and career situation. It uses your Practifi data, and administrators can configure external sources.
  • Client-ready exports let you create professionally formatted PDFs from Smart Notes with a single click.
  • Chat is a conversational interface available directly on Household, Organization, and Individual record pages. Your team can ask questions in plain language and receive synthesized, actionable answers based on your Practifi data, with cited sources and direct links to the underlying records.

Relationship Intelligence ensures every team member has complete context before client interactions, and that nothing falls through the cracks after meetings end.

Admin Intelligence

Admin Intelligence accelerates, automates, and refines operational workflows using intuitive, AI-driven tools. It reduces configuration time while ensuring scalable, compliant processes across the firm.

Key capabilities:

  • Smart Process Builder converts plain English descriptions of business processes into complete, executable workflows with tasks, decision points, branching logic, and visual flowcharts.
  • Compliance by design allows you to build mandatory compliance checkpoints, required approvals, and documentation requirements directly into workflows.
  • No-code automation means operations teams can create sophisticated workflows without technical skills or developer resources.
  • Best practice templates provide industry-standard process frameworks as starting points for common advisory workflows.

Admin Intelligence transforms what used to take hours or days into workflows that can be built in minutes, with complete visibility and control over every process.

Practifi Intelligence is built on the same secure, SOC 2 Type II-certified infrastructure as Practifi. All AI processing happens within your secure environment, and firms maintain complete control over data storage and access. The system is designed to support the specific compliance requirements of wealth management firms, enabling them to adopt AI capabilities without compromising their regulatory standing.

Getting Started

To get started with Practifi Intelligence:

  1. Contact your Client Success Manager to discuss which Intelligence features are right for your firm and to review pricing options.
  2. Complete required agreements, including additional data processing agreements for AI provider partnerships.
  3. Enable features through the Intelligence Features page with guidance from your implementation team.
  4. Assign licenses to users who will access each Intelligence category. Monitor seat usage on the User Licensing page in Intelligence Settings to ensure assignments stay within your purchased limits.
  5. Provide training using Practifi's comprehensive training resources and documentation.

Many firms choose to start with a pilot group of advisors before rolling out Practifi Intelligence firm-wide. Your Client Success Manager can help you design an effective pilot program.


Managing Intelligence Subscriptions

Practifi Intelligence subscriptions are based on the number of user seats purchased. Administrators can monitor and manage user assignments on the User Licensing page in Intelligence Settings.

Subscription Seat Limit Monitoring

Practifi automatically monitors Intelligence user assignments against your purchased seat count. When assigned users exceed the purchased limit, a scheduled daily job sends email notifications to administrators with the Practifi - Intelligence Settings - Administrator permission set (or to all active System Administrators if no users have that permission set).

When you receive a notification about exceeded seat limits, navigate to the User Licensing page in Intelligence Settings to review current seat usage and remove users as needed to bring assignments within your purchased limit. The system does not automatically remove users, giving administrators full control over which users to remove based on their organization's needs.
