Overview

The Timeline gives you a single chronological view of everything that's happened across a client relationship or across the business — Tasks, events, emails, Notes, Deals, Services, Processes, Deliverables, and assets — all in one place. Instead of jumping between tabs to piece together what's going on, you can scroll through the Timeline on any record and see the full picture at a glance.

The Timeline is accessible from many record types, including Entity, Client Entity, Contact, Group, Service, Process, Project, Division, and User records. By default, it shows your most time-sensitive items first, with overdue and upcoming records surfaced at the top before the chronological feed begins.

In the Front Office and Back Office apps, the Home page includes a Timeline view that surfaces activity across your entire book of business rather than a single record.

This article covers how to open the Timeline on record pages and from the Home page, navigate by date, filter by activity type, and act on what you find.

Viewing the Timeline on a Record

The Timeline is accessible from the tab bar on any record page that supports it.

To open the Timeline:

  1. Open a Client, Prospect, Contact, Group, Service, Process, or Project record.
  2. Click the Timeline tab in the tab bar near the top of the page.

The Timeline opens to the default view, which shows upcoming and overdue records at the top, followed by all other activity grouped by date in reverse chronological order.


Viewing the Timeline on Your Home Page

In the Front Office and Back Office apps, the Home page includes a Timeline tab alongside the default Overview tab. Selecting the Timeline tab switches the Home page to the Universal Timeline, a single chronological feed of all activity across your book of business or the firm, depending on your app and role.

The Universal Timeline shows the same types of records as the record-level Timeline — emails, Tasks, Notes, meetings, and more — but draws from multiple entities rather than a single Client or Prospect record. Use it to get a firm-wide or book-wide picture of recent activity without opening individual records.

Please note: The Timeline tab is available in the Front Office and Back Office apps only. The Executive app does not include a Timeline tab on the Home page, as leadership dashboards are focused on divisional performance rather than day-to-day activity.


If you want to jump to a specific point in a client's history rather than scrolling through the full Timeline, you can use the Jump to Date action.

To jump to a specific date:

  1. Click the Jump to Date button in the upper right corner of the Timeline.

  2. Select a date using the calendar picker, or type a date directly into the field using the format MM/DD/YYYY. Alternatively, you can click the calendar icon to select the date from a calendar.

  3. The Timeline scrolls to the nearest date that has activity.

To reset the Timeline to the default view after jumping to a date, click the Reset button that appears to the left of the Jump to Date button.

Please note: If there is no activity on the exact date you selected, the Timeline will jump to the nearest date that does have activity.


Filtering the Timeline

You can narrow the Timeline to show only the record types you want to focus on, and control how certain records are grouped together.

To open the filter panel, click the Filter icon in the upper right corner of the Timeline.

Filtering by Record Type

The filter panel lists all record types that can appear in the Timeline.

Check or uncheck a record type to include or exclude it from the view. Record type options vary depending on the record where you're viewing the Timeline. The full list of available record types is:

  • Assets — subfilter by Open or Closed
  • Deals — subfilter by Created, Lost, or Won
  • Deliverables — subfilter by Canceled, Fulfilled, Missed, or Upcoming & Overdue
  • Emails
  • Events — subfilter by Held or Upcoming
  • Processes — subfilter by Completed, Started, or Upcoming & Overdue
  • Services — subfilter by Activated, Completed, or Terminated
  • Notes 
  • Tasks — subfilter by Completed or Upcoming & Overdue

Record types that support subfilters have a caret to the left of their name. Click the caret to expand the subfilter options and deselect the specific statuses you want to exclude.

To remove all filters and return to the full view, check the All Types checkbox at the top of the filter panel.

Grouping Options

You'll find two grouping toggles at the bottom of the filter panel:

  • Group emails by conversation: When enabled, email replies are grouped together under the original message rather than appearing as separate entries in the Timeline. This makes it easier to follow the thread of an email exchange without each reply cluttering the view.
  • Group tasks in processes: When enabled, the individual tasks within a process are collapsed under the process entry. Click the tasks indicator on the process card to expand and view the tasks within it. When disabled, each task appears as its own entry in the Timeline.

Saving Your Filters

When you've configured a filter view you want to reuse, you can save it so that it becomes your default view for the record or Home page you're viewing. Click Apply & Save at the bottom of the filter panel instead of Apply. Your saved filter preferences will be applied the next time you open the Timeline on that record (or the Home page).

Please note: Using Apply applies your filters for the current session only. Use Apply & Save to make your filter selection persist between sessions.


Opening Records from the Timeline

Every card that appears in the Timeline has a clickable name. Click the name of any record to open it in a new tab. This lets you dive into the details of a specific task, event, email, or other item without losing your place in the Timeline.

Some cards also have pills you can click to open related records like Processes or Contacts.


Acting on Records from the Timeline

Each card in the Timeline has a caret on its right side. Clicking the caret opens a menu of quick actions for that record, so you can edit or update records without leaving the Timeline.

The available actions vary by record type. For Task records, the menu options are Edit, Complete Task, and Delete.


Loading More Records

The Timeline loads records progressively. When you reach the bottom of the currently loaded entries, a Load More link appears. Click it to load the next set of records and continue scrolling further back through the relationship history.


Refreshing the Timeline

The Timeline does not update automatically while you have it open. To reload it and bring in any new activity since the page loaded, click the Refresh icon to the right of the Jump to Date button.
