Configuring the Noticeboard in Sentir

Overview

The Noticeboard in Sentir generates automated posts and surfaces suggested actions from three sources:

  • Sentir's agents write Noticeboard posts automatically as part of the Dispatch authoring process, flagging issues such as clients with extended gaps in advisor outreach. 
  • Follow-up Items appear on the Noticeboard as suggested action cards. The Noticeboard Visibility setting controls which team members can see these suggestions based on their servicing team role and business role.
  • Key Events settings control how and when Noticeboard posts are added for client meetings, birthdays, and anniversaries, giving advisors advance notice to plan communication and outreach.

All three sources are configurable. Agent post behavior is controlled in the Dispatches section of the Intelligence Features page in the Settings app. Follow-up Items visibility is configured on the Follow-up Items tab in Intelligence Features. Key Events are configured on the Entity Management page in the Settings app, supporting firm-wide defaults and per-division overrides. This article covers all three settings surfaces.


Understanding Agent Posts

Agents can write posts to the Noticeboard automatically as part of the Dispatch authoring process. When an agent identifies something that warrants attention, such as a client with an extended gap in advisor outreach, it writes a Noticeboard post that's related to the relevant record. Dispatches settings control whether that behavior is active and how long dismissed posts stay suppressed.

To access the Noticeboard settings for agent-created posts:

  1. Click the App Launcher and select the Settings app.

  2. From the Settings app, click the Navigation Menu and select Intelligence Features.

  3. In the left navigation rail, click Dispatches.

The settings described below appear under the Noticeboard heading on the Dispatches tab.

Enable Noticeboard Posts

The Enable Noticeboard Posts toggle controls whether agents can create Noticeboard posts for important alerts as part of the Dispatch authoring process. When enabled, agents write posts to the Noticeboard when they identify something that warrants attention. Team members can still archive individual posts regardless of this setting.

This toggle is on by default. Toggle it off if you don't want agents to author Noticeboard posts.

Please note: Disabling this setting stops agents from creating new agent-written Noticeboard posts. It does not affect team update posts, automated reminders (birthdays, anniversaries, meeting reminders), or follow-up Items. Those are controlled separately.

Keep Archived Posts Hidden

Team members can archive a Noticeboard post by clicking the caret on the post and selecting Archive. When an agent-written Noticeboard post is archived, it signals to the agent that the alert is not relevant. The Keep Archived Posts Hidden setting controls how long the agent respects that decision, meaning how long the agent waits before it can recreate the same post the next time Dispatches are generated.

The available options are:

  • For 7 days
  • For 14 days
  • For 30 days
  • For 90 days
  • Permanently  — the agent will never recreate a dismissed post.

After making any changes on the Dispatches page, click Save in the bottom-right corner of the screen to apply them.


Understanding Follow-up Items

Follow-up items appear on the Noticeboard as suggested action cards. Sentir's agents generate these suggestions based on conversation context and client activity. The Noticeboard Visibility setting in the Follow-up Items section of the Intelligence Features page controls which team members see these cards.

To access the Noticeboard Visibility setting for Follow-up Items:

  1. Click the App Launcher and select the Settings app.

  2. From the Settings app, click the Navigation Menu and select Intelligence Features.

  3. In the left navigation rail, click Follow-up Items.

Threshold

The Threshold setting is a confidence slider (0–100%) that sets the minimum confidence level required before follow-up items are suggested. A higher threshold produces fewer, more accurate suggestions; a lower threshold produces more suggestions, potentially with less relevance. The recommended range for most firms is 70–80%.

Noticeboard Visibility

The Noticeboard Visibility setting controls which servicing team roles and business roles can see follow-up item cards on the Noticeboard. Use the Servicing Team Roles and Business Roles dropdowns to select which roles should see suggestions.

Regardless of the roles selected here, the owner of the related record and the suggested assignee for the follow-up always see the card.

Click the Save Changes button at the bottom of the screen to save your changes.


Understanding Key Events Posts

Key Events settings control how automated Noticeboard posts are created based on client milestones, such as upcoming meetings, birthdays, and anniversaries. They're configured on the Entity Management page in the Settings app and support firm-wide defaults as well as per-division overrides.

Each Key Event type has a toggle to enable or disable it. When a key event is disabled, no Noticeboard posts of that type are generated for any division using the firm-wide default.

To access Key Events settings:

  1. Click the App Launcher and select the Settings app.

  2. From the Settings app, click the Navigation menu and select Entity Management.

  3. In the left navigation rail under the Life Cycle section, click Key Events.

Firm-Wide Defaults

The Firm-Wide Defaults tab sets the baseline configuration for all three Key Event types across your organization. Any division that has not been customized automatically inherits these settings. Each card on the Firm-Wide Defaults tab has a toggle at the top, allowing admins to enable or disable all Noticeboard alerts for that Key Event type.

Client Meetings

When enabled, the Client Meeting Key Event type fires a Noticeboard post and opens the Meeting Prep workspace for the assigned advisor ahead of each client meeting. The following settings are available for client meetings:

  • Send a Noticeboard post and open the Pre-Meeting Prep workspace — Sets how far in advance of the meeting the post fires and the workspace becomes available. Options range from 1 to 7 days before the meeting. The default is 2 days.
  • Generate a Note using this template — Sets the Note template that's used to generate the prep Note that appears in the Meeting Prep workspace. The default is Meeting Brief. The other pre-built template is the Relationship Brief. You can also select any other Note templates your organization has created.
  • Visibility — Controls which team members receive Noticeboard posts on their Home page for this event. Configure by Servicing Team Roles and/or Business Roles. If left blank, the post goes to all team members on the client's servicing team.
  • Reminders — Additional Noticeboard posts that fire at closer lead times if the initial post was archived. No reminders are configured by default. Add reminders using the plus icon. See How Reminders Work below.

Please note: The Noticeboard post and the prep Note work in tandem. They're triggered by the same lead time setting. It's not possible to send the post without generating the prep Note, or vice versa.

Client Birthdays

When enabled, the Client Birthday Key Event type reminds the client's owner of an upcoming birthday. The following settings are available for client birthdays:

  • Send a Noticeboard post — Sets how far in advance of the birthday the initial post fires. The default is 14 days before the birthday.
  • Visibility — Controls which team members receive Noticeboard posts on their Home page, by Servicing Team Roles and/or Business Roles.
  • Reminders — Additional posts that fire at closer lead times if the initial post was dismissed. The default reminder set is 1 day before the birthday and 7 days before the birthday. Add or remove reminders using the plus and trash can icons.

Client Anniversaries

When enabled, the Client Anniversary Key Event type reminds the client's owner of an upcoming client anniversary. The following settings are available for client anniversaries:

  • Send a Noticeboard post — Sets how far in advance of the anniversary the initial post fires. Default is 30 days before the anniversary.
  • Visibility — Controls which team members receive the home Noticeboard post, by Servicing Team Roles and/or Business Roles.
  • Reminders — Additional posts that fire at closer lead times if the initial post was dismissed. The default reminder set is 7 days before the anniversary and 14 days before the anniversary. Add or remove reminders using the plus and trash can icons.

Division-Specific Settings

The Division-Specific Settings tab lets you override the firm-wide defaults for individual divisions. Each division in your organization appears in the left panel. Select a division to view and edit its Key Events configuration.

For each Key Event type, a division can either:

  • Use Default Settings — The division inherits the firm-wide configuration. Any change to the firm-wide defaults automatically applies to this division.
  • Customize — The division uses its own settings, independent of the firm-wide defaults. The same options are available for lead time, template, visibility, and reminders.

Divisions that have been customized keep their settings even if firm-wide defaults change. To revert a customized division back to firm-wide defaults, click Use Default Settings, then click Save at the bottom of the screen.

Please note: Division-specific customization is independent per Key Event type. A division can use the firm-wide default for Client Birthdays while running its own configuration for Client Meetings.


How Reminders Work

Each Key Event type supports a layered reminder system. The initial Noticeboard post fires at the lead time you configure. If the recipient dismisses that post, a reminder fires at the next lead time in the sequence. If that reminder is dismissed as well, the next one fires, and so on.

For Client Meetings, the reminder description reads: "These will be sent if the initial Noticeboard post and all preceding reminders were dismissed by the meeting organizer." For Birthdays and Anniversaries, the same logic applies, but the post owner is the client's owning user rather than the meeting organizer.

To add a reminder, click the plus icon in the Reminders section, then select a lead time from the dropdown. Lead time options are based on how many days are selected in the Send a Noticeboard post and open the Pre-Meeting Prep workspace setting. 

To remove a reminder, click the trash can icon on the right. Click Save at the bottom of the screen to save your changes.

Please note: Reminders only fire if the initial post and all preceding reminders have been dismissed. If a user does not dismiss a post, no further reminders are sent for that event. This prevents the Noticeboard from filling up with duplicate alerts for the same event.
