Understanding the Rulebook

Overview

The Rulebook is a tool for flexibly defining rule criteria that can trigger multiple actions within your Practifi organization when those criteria are met. The Rulebook provides a way for firms to implement their existing internal "rulebook" of engaging with their clients and prospects as automated system logic. Your firm's members won't need to remember what to do; the system can be built to tell them. This article outlines the functionality available with the Rulebook within your organization. Types of Rules

Three types of rules can be created within the Rulebook:

  • Time-based execution – The need for execution is evaluated based on the number of days between today and a specified target field defined using fields on the Rule Criteria record page. Rules are evaluated once a day, outside of business hours. These rules will only ever run once. 
  • Record-based execution – The need for execution is evaluated based on whether the record meets certain field-level criteria defined using the Record Criteria tab on the Rule Criteria record page. Rules can be evaluated when a record is created, a record is created or updated, or a record is created or updated to meet the evaluation criteria. A record is "updated to meet the evaluation criteria" if it did not meet the criteria before the record update but does meet the criteria after updating.
  • Time and record-based execution – Evaluation occurs in the same way it does for time-based execution. However, the criteria specified on the Record Criteria tab must also apply for the rule to be executed. 

Available Actions

With the Rulebook, the following types of actions will be able to be triggered when your firm's rule criteria are met: 

  • Create a Task
  • Post to Noticeboard
  • Send a Notification
  • Send an Email 
  • Start a Process

Accessing the Rulebook

The Rulebook can be accessed through the Settings app. Use the App Launcher in the upper left-hand corner of Practifi and select the Settings app from the drop-down menu of apps. Once in the Settings app, locate the Rulebook page using the Navigation Menu. On the Rulebook page, you'll find a list of all active and inactive rules created in your Practifi instance.

  • Deal Close Date Past Due

  • Lost Client

  • New Referral
  • Platinum Client Not Contacted in 90 Days
  • Platinum Client Not Contacted in 120 Days
  • Promote to Prospect

Compatible Practifi Objects

Record-based execution is only compatible with certain Practifi objects. These objects are automation-ready through their settings. To see whether an object is automation-ready:

  1. Navigate to Salesforce Setup by selecting the settings cog in the upper right-hand corner of Practifi.
  2. Click Setup from the drop-down menu.
  3. In Salesforce Setup, use the Quick Find search bar on the left-hand side to search for and select Custom Settings.
  4. On the Custom Settings page, select the Manage link next to Practifi Trigger Settings.

  5. On the Practifi Trigger Settings page, you'll see checkmarks next to objects with automation enabled.
