Understanding and Using the Advisor App

Overview

Advice firms are comprised of individuals who perform various and vital roles. Whether they manage assets, book appointments or ensure everything the firm does is compliant, each user has different information needs. One common thread among these roles is the need for fast access to all the information they care about most.

Practifi enables a personalized experience through our role-based apps, ensuring users can access the most relevant information quickly and efficiently. Out of the box, Practifi provides users with a suite of apps designed to cater to some commonly found roles in a firm. This article outlines the functionality available through the Advisor app. 

The Advisor App 

Advisors are focused on the details of your firm's Prospects and Clients, as well as their continued potential for the firm's pipeline. The Advisor app is built with this in mind, giving users quick access to key information, so Financial Advisors can return to providing value to current Clients or gaining new ones.

Users can be assigned the Advisor app as their default app, meaning that they will automatically land on this app when logging into Practifi, or they have the Advisor app available in addition to their other assigned apps. A user must have the Practifi - Advisor - Home Page - Lite permission set assigned to their user profile to access the app. Once assigned the correct permission set, the app will become available in the App Launcher located in the upper left-hand corner of Practifi.

The Home Page

The Home Page displays activities occurring within your firm and presents the most critical information in a series of tiles and charts. Selecting a chart or tile displays the related records in a record table. To learn more about the Home Page, please refer to our articles Understanding the Home Page and Using the Home Page.

The Home Page of the Advisor app emphasizes business performance and key metrics that matter most for client conversations and business growth. Advisors can quickly see their business performance and then drill down into operational details as needed. For new advisors, having AUM and performance metrics displayed on the Home Page provides motivation and a clear goal-setting context. For experienced Advisors, this streamlined Home Page allows them to check business health first and then handle operational items. 

Tiles

Tiles in the Advisor app serve as a business scorecard, with streamlined metrics to keep the focus where it matters. Having AUM front and center makes this metric easier for Advisors to reference during client meetings and business discussions. The tiles chosen for this Home page have been selected to focus on high-value activities and minimize cognitive load from alert overload. 

The standard tiles and the information they pull in are as follows:

  • My Work
    • Total AUM - Displays an aggregate AUM value from all clients where the current user is the owner or listed as a Financial Advisor team member on the record.
    • Open tasks - Tasks assigned to your user profile with a related entity attached and not in the status of Completed or Cancelled.
    • Open delegated tasks - Tasks created by your user profile are currently assigned to another user with a related entity attached and not in the status of Completed or Cancelled.
    • Clients not contacted in 90 days - Clients for whom the Days Since Last Contact field returns a value equal to or greater than 90 days.

Charts

Charts on the Advisor app's Home Page help visualize critical data from client engagement with your firm.

  • Pipeline
    • Open Deals by Close Month & Stage - Displays the open Deals you own, separated by their current Deal Stage.
    • Open Deals by Close Month & Type - Shows the open Deals that you own, separated by their status as a Client or a Prospect.
  • Client Breakdown
    • Open Process by Type - Shows processes not in Completed status and owned by the current user, separated by Process Type. 
    • AUM by Client Segment - Displays a donut chart breaking down your firm's Clients by their Client Segment and aggregating their total AUM by each Segment displayed.

 

Pre-2025 Advisor Home Page

As of June 2025, all new Practifi organizations will automatically receive the Practifi - Advisor - Home Page - Lite experience detailed in the above section. The previous Home Page layout is still available and can be activated if needed for organizations that prefer it or need time to transition. Practifi organizations that existed before June 2025 will still see the tiles and charts below in their Advisor Home Page experience. However, they may choose to switch to the Practifi - Advisor - Home Page - Lite experience.

This previous version of the Advisor Home Page is heavily focused on task management. The newer experience is more streamlined and emphasises business performance and key metrics that matter most for client conversations and business growth. The core functionality between the older layout and the newer Practifi - Advisor - Home Page - Lite experience stays the same. The left sidebar navigation is identical, all chart types and visualizations work the same and the Today's Events/Today's Tasks panels remain in the same location. Pipeline tracking, client breakdowns and process management are all preserved. 

Tiles

The standard tiles available in the pre-2025 Advisor Home Page layout and the information they pull in are as follows:

  • My Tasks
    • Open tasks - Tasks assigned to your user profile with a related entity attached and not in the status of Completed or Cancelled.
    • Open tasks in my queue - Tasks assigned to a queue that you are in with a related entity attached and not in the status of Completed or Cancelled.
    • Due and overdue tasks - Tasks assigned to your user profile with a related entity attached, not in the status of Completed or Cancelled with a due date that is either today or any date in the past.
    • Open delegated tasks - Tasks created by your user profile currently assigned to another user with a related entity attached and not in the status of Completed or Cancelled.
    • Due and overdue delegated tasks - Tasks created by your user profile currently assigned to another user with a related entity attached, not in the status of Completed or Cancelled with a due date that is either today or any date in the past.
    • Open personal tasks - Tasks created by your user profile without a related entity attached and not in the status of Completed or Cancelled.
  • My Alerts & Exceptions
    • Birthdays in the next 30 days - Clients who have a birthday within the next 30 days.
    • Reviews in the next 30 days - Clients who have a service marked for review within the next 30 days.
    • Clients not contacted in 90 days - Clients where their Days Since Last Contact field returns a value equal to or greater than 90 days.
    • Clients who plan to retire this year - Clients where their Anticipated Retirement Date field has a date entered within the current year.
    • Meetings with missing notes - Meeting records that do not have notes within them.
    • Upcoming meetings - A list of meetings that are occurring today or within the next seven days.

System Administrators can customize tile visibility within your organization to add or remove Practifi tiles as needed. For information on customizing tile visibility, please refer to our Adding and Removing Practifi Tiles article.

Charts

The charts available within the pre-2025 Advisor app are as follows: 

  • Client Work
    • Open Processes by Type - Shows processes not in Completed status and owned by the current user, separated by Process Type. 
    • Overdue Tasks by Client Segment -  Displays tasks owned by the current user that have passed their due date, separated by Client Segment.
  • Pipeline
    • Open Deals by Close Month & Stage - Displays the open Deals you own, separated by their current Deal Stage.
    • Open Deals by Close Month & Type - Shows the open Deals that you own, separated by their status as a Client or a Prospect.
  • Client Breakdown
    • AUM by Client Segment - Displays a donut chart breaking down your firm's Clients by their Client Segment and aggregating their total AUM by each Segment displayed.
    • Clients Won and Lost - Shows the aggregation of Clients both gained and lost by your firm for each calendar month. 
  • Engagement
    • Clients by Days Since Last Contact - Displays your currently owned Clients ranked in a horizontal bar chart based on their last contact date. 
    • Prospects by Days Since Last Contact - Shows your currently owned Prospects ranked in a horizontal bar chart based on their last contact date.
