Using the Constant Contact Integration

Please note: As of 2024, Constant Contact provides a Salesforce integration that automatically syncs contact data to its platform for use in email campaigns. For instructions on setting up this integration, see our article on Enabling the Constant Contact Integration.

The following content pertains to Practifi's legacy Constant Contact integration. If your organization is using the Salesforce integration described above, this information might not be relevant.

Overview

Our integration with Constant Contact lets you build contact lists in Practifi and send them to Constant Contact, where campaigns are launched and managed. Keeping client data in Practifi as the source of truth means your email lists stay aligned with the rest of your records. These Constant Contact campaigns are not to be confused with the Campaign object in Practifi, which is used in conjunction with our Practifi Promote add-on service.

Updates to Contact details in Practifi sync to Constant Contact automatically, and Contacts' engagement during campaigns is captured in Practifi as a new form of interaction, keeping client communications visible alongside other interactions in the record.

This article outlines how to use the Constant Contact integration in Practifi to add and remove clients from Campaign lists. 

Please note: This functionality will not be available in your organization unless the integration is enabled. For information on enabling the integration, please consult our Enabling the Constant Contact Integration article.


Integration Summary

With this integration, Practifi serves as the source of truth for Contact information. Lists are sent from Practifi to Constant Contact, which then launches campaigns, tracks engagement, and sends emails. Constant Contact maintains the distribution list of contact emails, while Practifi adds the Contact record to those lists. Constant Contact logs the Contact's engagement activity, which is captured in Practifi alongside your other client interactions. Practifi passes opt-out requests back to Constant Contact, and Constant Contact respects Do Not Email/Opt-Out requests, so contact preferences stay aligned across both systems without manual reconciliation.

Please note that in this implementation:

  • No contact field information is copied from Constant Contact to Practifi
    • No orphan Contacts are created in Practifi from Constant Contact
    • The common Contacts between both systems are linked by their Constant Contact ID, stored in Practifi
  • Only Email Address, First Name, Last Name, and Opt-in status are copied to Constant Contact when creating a new contact from Practifi
  • Updates to Email Address, First Name, Last Name, or Opt-in Status in Practifi are sent to Constant Contact immediately upon saving, without requiring a job.

  • Updates to the Email Address field in Practifi do not sever the link between the contact in Practifi and Constant Contact; the connection remains intact.

  • The current Constant Contact API does not support the following email campaigns:
    • Automated emails (Birthdays and Anniversaries Emails/Email Series/Welcome Emails/Resend Emails to Non-Openers). 

Before You Begin

To use this integration, you must have valid accounts with both Practifi and Constant Contact. You must also have the Constant Contact integration enabled within your Practifi organization. For information on enabling this integration, please consult our Enabling the Constant Contact Integration article. 


Using the Integration

Adding Clients to Campaigns

  1. Locate the Client record for the Household, Organization, or Individual that you would like to add to the Constant Contact campaign by using the Global Search bar at the top of the Practifi page or the Directory app page.

    Please note: For the Client record to be added to the campaign, their email must be entered in the Email field. This is not required when creating records in Practifi, but Constant Contact requires this information.

  2. Select the caret button located on the Salesforce button bar on the entity’s record side panel.

  3. Select the Add / Remove from Constant Contact option from the drop-down menu. After selection, a pop-up message will display on your Practifi screen.

  4. Select the campaign name from the What list are you adding them to? drop-down menu.
  5. Select the checkbox to the left of the name for each contact you would like to add to the campaign.
  6. Ensure the selected information is correct, then click Next to proceed with the addition.

  7. Once the contact is successfully added, a success message will appear on your screen. Select Finish to close this message. The contact is now added to your Constant Contact campaign.

     

Removing Clients From Campaigns

As of the Albariño release (May 2022), if a Key Entity is marked as a Lost Prospect or Lost Client, or if their record is deleted from Practifi, their corresponding entries in Constant Contact lists are automatically removed, keeping your campaign lists current without manual cleanup.

If you want to remove an existing Key Entity in Practifi from a Constant Contact list, do the following:

  1. Locate the Client record for the Household, Organization, or Individual that you would like to remove from the Constant Contact campaign by using the Global Search bar at the top of the Practifi page or the Directory app page. 
  2. Select the caret button located on the Salesforce button bar on the entity’s record side panel.

  3. Select the Add / Remove from Constant Contact option from the drop-down menu. After selection, a pop-up message will display on your Practifi screen.

  4. Click the Remove from Constant Contact lists radio button under the What are you going to do? question. 

  5. Select the checkbox to the left of the name for each contact you would like to remove from the campaign.
  6. Ensure the selected information is correct, then click Next to proceed with the removal process.

  7. Once the contact is successfully removed, a success message will appear on your screen. Select Finish to close this message. The contact is now removed from your Constant Contact campaign.

    Please note: Before the Albariño release (May 2022), the above action only removes the name from the list within Practifi. It does not remove it from the list within Constant Contact. If your Practifi organization is not upgraded to Albariño, you must go to the Constant Contact Contacts > Lists panel and remove the name from there as well.
